
ChatGPT, Gemini, and Copilot have become revolutionary forces in the modern workplace, streamlining tasks, boosting productivity, and reducing costs. Two-thirds of respondents in a recent survey are quantifying their AI ROI, finding that for every dollar spent, they are seeing $1.41 in returns through cost savings and increased revenue.
With 71% of respondents in another study stating that their organizations regularly use generative AI (GenAI), it’s clearer than ever that organizations have embraced them en masse, integrating them into daily operations from customer service to content development. Yet, as GenAI adoption soars, so too does a false sense of confidence in its safety and simplicity.
Where Familiar Tools Meet Unseen Risks
While AI might seem new to many, it’s long been embedded in everyday life, think Amazon recommendations, Google Search enhancements, or email spam filters. The difference today? It’s visible, interactive, and democratized. But with that accessibility comes an overlooked threat: users often don’t understand what GenAI is actually doing with the data and information their inputting or where the risks begin.
Many employees assume that GenAI tools are inherently secure or believe that using them casually to draft emails, summarize documents, or brainstorm ideas poses little to no risk. Consider a sales executive inputs a list of accounts containing contact details and deal sizes into a public AI model to generate a summary, the proprietary data may be ingested into the model’s context window and retained for future training. This exposes sensitive customer and sales information to unauthorized access, outside the organization’s data governance controls.
This is a prime example of the false sense of security that leads to the unintentional exposure of sensitive data, proprietary information, or even login credentials. While some employees may be freely using GenAI, you’re faced with further issues from other employees who remain hesitant or unsure and lack clarity on what is permitted and what isn’t.
Without clear guardrails or consistent communication from leadership, this uneven understanding across the organization has created confusion, inconsistent behaviors, and unpredictable usage patterns. As a result, security teams are now grappling with a growing set of risks and vulnerabilities they hadn’t previously accounted for ranging from shadow AI use to the possibility of prompt injection or data exfiltration through third-party AI platforms. This disconnect is shedding light on the urgent need for defined policies, employee education, and proactive security measures tailored to the GenAI landscape.
Training Gaps in a Generative Age
By 2027, over 40% of AI-related data breaches are expected to result from improper GenAI use. For the most part these breaches aren’t expected to even necessarily be caused by malicious actors but by well-meaning employees who were never shown how to use AI securely. A widely accepted avenue for wide scale education of employees is security awareness training, however what most organizations and employee GenAI users don’t understand is, traditional security awareness programs don’t account for the specific challenges and complexities introduced by generative AI tools.
These programs were designed to address the conventional threats, such as phishing, password hygiene, and data handling, not the risks that arise when employees interact with AI systems that process and generate data in real time. Additionally even when rolling out AI usage protocols, the organization themselves might not fully grasp the risks. As a result, many employees and teams do not have the necessary understanding to identify AI-related risks or how their actions might unintentionally expose sensitive information.
Laying the Groundwork for Everyday AI Readiness
Adopting AI, especially generative AI or even implementing stronger rollout processes, may appear daunting, but progress is quickly hinging on organizations’ capability to either work alongside AI or against it. By introducing secure, low-barrier use cases like vetted IDE plugins and internal chatbots isolated from the public internet, companies can drive innovation, boost AI literacy, and enable responsible GenAI adoption. This approach works to both promote trust and instill accountability, helping protect individuals and the organization as a whole.
To build a strong foundation for responsible GenAI adoption, start by investing in AI literacy. Create training that instills the ‘Redact Before You Prompt’ rule and uses simulations to help employees identify prompts engineered to expose sensitive data. Make these educational efforts practical by using real-world examples that help employees spot both safe and unsafe AI behaviors. Encourage open dialogue, provide clear terminology, and create space for people to ask questions without fear of judgment.
Beyond individual awareness, it’s essential to foster a culture of continuous learning and shared responsibility. Internal knowledge-sharing programs and easy channels for reporting concerns can help normalize responsible AI use across teams.
Clarity Before Capability
The future of AI is full of promise and by realizing its potential for good and evil means moving beyond the common pitfalls that often slow organizations down. When employees lack clarity on how to use GenAI tools safely, issues like data mishandling and compliance risks inevitably arise. By focusing on building resilience through education, companies can equip their workforce to avoid these missteps and approach AI use with greater confidence and precision.
Establishing a culture of transparency and shared responsibility around AI tools and decision-making is key to that evolution. With clear guidelines, open communication, and informed employees, AI becomes less of a risk and more of a strategic advantage. This creates a direct path to innovation, where teams not only feel empowered to use GenAI but do so responsibly unlocking new efficiencies, driving creativity, and pushing the organization forward with purpose and control.
